Day #104 in A Year of Positivity

Hello, hello, and welcome back to A Year of Positivity! I hope the weekend is treating you well! For today’s post, we have a quote by Henry Ford, “Nothing is particularly hard if you break it down into small jobs.”

This quote reminds me of a new change I recently implemented in my job. See, what I do in my primary daytime career (not at all related to my writing, as that’s my secondary career), I audit the quality of the customer calls on other CSRs on my team, and due to the nature of our job we’re in the middle of the busiest time of the entire year. Because we had a lot of new CSRs added to our team, we had over 500 calls that needed to be audited between me and another auditor. 500 seems a daunting number, and nothing compared to the 800 some we have to have done for November.

In order to complete such a large number of audits, I tried to break them down into smaller tasks. I’d calculate how much needed to be done for the month, divide it by the number of auditing days available for the month, and divide that number by two (because there were two auditors). The final number I’d get would be the number of audits I’d need to do every day, though if I’d found time to do more, I certainly would do so.

Another method I just started doing this past week was time blocking the number of audits I’d do throughout my shift. I’d go first with the number I absolutely needed done first, then divide it by the 8-hour shift, and time block it. If I found time to do more in the same time block. It’s been a useful tool and has definitely helped me with my productivity and focus. I’m glad I discovered this method, and I’ll most certainly be using it in November and other months to come. Breaking down a larger, more difficult task into smaller jobs is a brilliant way to focus on finishing the task at hand in a timely and efficient manner without catching the feeling of being overwhelmed.
